Access management

The access management model in RSAkit uses four predefined user roles:

  • Caregiver
  • Office assistant
  • Manager
  • Admin.

The roles differ in the data available for viewing and editing.

Only an employee of your company can be a user of your company’s RSAkit account. Therefore, you must add the future user to the employee list before the user can obtain access to the data.

To give the user access to the data:

  • Assign a role to the employee.
  • Switch on employee access to the RSAkit portal.
  • Generate an employee password and send it by email.

There are two main ways to do this:

  • Automatic one-time assignment of access for many users
  • Manual assigning access to one user

The one-time assignment allows you to assign a role, switch on the access, and generate and send passwords at the same time to ALL active employees who did not have access before. In this case, for all of them, the “caregiver” role will be applied.

For example, this approach is convenient when you have used a data file to upload many employees.

If you input one employee or would like to set a role other than “caregiver”, assign the access to one user manually.

Automatic one-time assignment of access

To make an automatic one-time assignment, go to the ‘Employees’ page (1) and click on the ‘Allow access’ button (2). You will see the notice about enabling access for ALL active employees. Approve it by clicking on the ‘PROCEED’ button.

Manual assignment of access to one user

To assign user access to one employee, go to the ‘Employees’ page (3), click on the employee in the list, and go to the ‘ACCESS’ tab (4). Set the ‘Access’ switch to ON (5). Enter the email, which will be the employee’s login (6). By default, the system offers to use the same email that is specified in the employee’s contacts (on the ‘PERSONAL’ tab). This email must be unique in RSAkit. If someone already has the same login, you will not be able to assign this value. (While the email for contacts, which is indicated on the ‘Personal’ tab, maybe the same for several people).

Then select a user role using radio buttons (7). Click the ‘SAVE’ button (8).

Finally, click on the ‘SEND NEW PASSWORD’ button (9). A new password will be sent to the employee.

User notice letter

When you generate a new password for the user by automatic access assignment or clicking on the ‘SEND NEW PASSWORD’ button, RSAkit sends a letter to the user. The letter includes a web-link to RSAkit, the password, and a short explanation.

Role change and access revocation

At any time, you can change the user role for the employee or revoke or reassign access on the ‘ACCESS’ tab of the user page. Do not forget to confirm your changes by clicking on ‘SAVE’. These steps are not required to generate a new password.

Role data access rights

Caregiver – access to one’s own check-in/check-out data

Office assistant – access to all the company’s account data excluding integrated financial indicators on the dashboard

Manager – access to all the company’s account data

Admin – a special role with full data access which cannot be canceled. This role is assigned to the user who registered the company account. The role is intended to protect the company from loss of account access.
