First of all, make sure RSAkit uploads the ISAS data automatically, or upload actual ISAS data manually. Then use the ’Services by clients’ screen to determine work shift conflicts, and set paid time for employees week by week.
Here, we use the term “approved hours” when we talk about hours that ISAS has approved to pay for your agency. The term “Revised approved hours” is used for hours that you corrected for use in the payroll.
In most cases, you do not need to do something special for clients who received services from one caregiver. RSAkit will correctly set “Revised approved hours” on its own based on ISAS approved hours. The exception is a case in which the claim connected to the employee required approval by ISAS, has “Need authorization” status, etc.
On the other hand, your attention is almost always required if, throughout the course of a week, a client receives services from two or more employees on the same day. In this case, ISAS distributes the hours worked at random. You must determine how to distribute paid hours between employees and correct “Revised approved hours” on the ’Services by clients’ screen.
On this screen, RSAkit displays “Revised approved hours”, which it suggests based on the ISAS data, in blue (1). If you corrected any values in the “Revised approved hours” column, they will be displayed in black (2).
The application helps you with the adjustment.
The weekly sum of “Revised Approved Hours” will be highlighted (3) in yellow if it exceeds “Approved hours”, or in red if it exceeds the sum of “Approved” and “Need Authorization” hours.
You can use the calculator (4) for automation. Click the calculator button to set the Revised hours in the row so that the sum in the “Revised” column is equal to the “Approved”. This is convenient when several caregivers worked for one client.
