'Services by clients' screen

The ‘Services by clients’ screen is designed to display data on the services received by clients and to revise hours worked by employees, subject to restrictions imposed by state law, for payroll.

The data is shown in two logically connected tables for the selected client and week(s). The bottom chart shows information about any service grouped by week, by day, and by employee. The top table is used to analyze consolidated data and to revise hours worked by employees on the week. This table contains editable fields with Revised actual hours. It is these hours that are used to compose a payroll.

To go to the ‘Services by clients’ screen, select the ‘Services’ then ‘By Clients’ (1) options from the main menu. The screen ‘Services by clients’ is based on the Main screen.

‘Services by clients’ screen elements:

  • Calendar (2) – use this to select the range of data displays.
  • Filters (3) are convenient to shorten the list of clients.
  • Search field (5) – use this field to select a client.
  • Switch (4) – use this to set the sorting order in the list of clients of employees (by first or last name):
  • Upper (9) and bottom (8) tables with data.
  • Switch “Show paid” (16) – use this to show an additional column in the bottom table with data about sums paid by the state.
  • Reports buttons (17) – use this to generate reports.

To view the data in the tables, you must select:

  • Workweek(s) in the calendar (2).
  • Client in the search field (5).

How to choose clients?

  • You can open a list of clients by clicking on the list button (6) and selecting the employee directly.

NOTE. The clients list (6) includes only clients who received services on the selected weeks (2) and who meet the selected filters (3).

  • Or you can begin to type any part of the employee’s First Name or Last Name in the field (5). As you type, only clients who meet the typed criteria and selected filters (3) will be displayed in the list. Then click on the employee row.

Data tables

The bottom table contains information about each service:

  • Check-in, check-out time.
  • Actual worked hours (10).
  • Hours approved by the state (11).

The top table is used to analyze consolidated data and to revise hours worked by employees. For each week is shown:

  • Client’s POS (Plan of Service).
  • Hours actually worked by an employee (12).
  • Hours approved by the State for the week (13).
  • Hours that are still in discussion with the State (14).
  • Editable revised actual hours for payroll (15).

When you first access the data on hours worked by an employee during the week, RSAkit suggests setting the payable hours for the employee as they were approved in the ISAS. These hours are shown in the “Revised” column in blue. If you edited these hours, the edited value is displayed in black.

When cell (1) is edited, RSAkit helps you see the excess hours approved for payment. The amount (2) will be shown on a red background. You can select the value in the cell automatically by clicking on the calculator icon (3). RSAkit will set the value in the cell so that the number of revised hours equals the number of approved hours.
